How do I set up automated reminders?

Bookem comes with a number of default appointment related automated reminders. You can create more of your own, or edit those that are already set up for you.

By default, reminders are set to go out both as an SMS reminder and an email reminder. You can change this to be only email reminder, only SMS reminder, or SMS with email as fallback in the event the SMS fails.

We recommend 3 automated SMS messages for first time clients,

  1. Booking confirmation

  2. Reminder one day before the appointment

  3. Reminder 2 hours before the appointment

and at least two for repeat clients

  1. Booking confirmed

  2. Reminder 2 hours before the appointment

To do this, go to "Settings - Automated messages" and click on the "+Add" button on the top right of the screen. Or select the default reminder you want to edit from the list.

Now it's time to make magic!

  • Give your message a name that makes sense to you and your client

  • Decide when you would like the message to be sent, by picking your option from the two drop down menus

  • Specify which services, locations and practitioners (resources) this rule applies to. You can also leave it as the standard "any service at any location with any resource". You can also exclude (+Add exception) services if this is easier.

  • Decide which occurrences of the bookings you would like the message to go (select from the drop downs) in the example below, the message will be sent for the most recent/ last booking.

This sounds complicated, but it makes it possible to create multiple messages e.g. message for an initial consultation that has intake forms attached, this would only go once, future bookings would get a general confirmation.

  • Choose your preferred delivery mechanism - SMS with email as fallback, SMS and email or just email. Set the time you would like messages to be sent.

  • Finally - compose your SMS and emails and save. Note that any text you see highlighted in purple is linked to information in Bookem and you can add fields by using the "# to find variables"
