How send invoices, statement and documents to additional recipients

Bookem makes it easy to create and send professional invoices, documents, and statements directly from your calendar. You can securely share these with third parties, such as medical aids, guardians, or referring professionals simply by adding additional email addresses to the client’s profile.

Add additional email fields to the client profile

Here’s how:

1. Go to Clients > Profile fields

2. Click the plus (+) sign to add a field or click '+ Add field' at the bottom of the page

3. Select and add the 'Email' field, and name it accordingly eg. 'person responsible email' or 'referring doctor email'

4. Click 'Save' when you're done

💡Pro-tip

These email fields must be filled in on the client profile in order to show up as recipient options when sending a document.

Now you can send invoices, documents, and statements to multiple recipients quickly and efficiently.

Send a document to an additional recipient

Here’s how:

1. Go to your Calendar and click on the relevant client’s booking

2. Click on 'Documents > + New Document'

3. Select a document template and create your document

4. Once your document is ready, click ‘Save & send’ to finalise and open the sharing options

Or click the arrow icon in the top right corner of the screen to access sending options

5. Select email as the delivery method; the client's email auto-fills but can be changed

6. Add recipients from saved contact fields like 'Referring healthcare professional,” “Guardian,” or “Responsible person”  

7. Choose files to attach—your created document attaches as PDF automatically, and you can select additional saved files  

8. Click ‘Send’

Send an invoice to an additional recipient

Here's how:

1. From the client profile, generate an invoice by clicking 'New invoice'

Or open an existing invoice from the 'Account' tab

2. Once finalised, click 'Save & Send' to share the invoice via SMS or email

3. Select email as the delivery method; the client's email auto-fills but can be changed

4. Add recipients from saved contact fields like 'Referring healthcare professional,” “Guardian,” or “Responsible person”  

5. Choose files to attach—your created document attaches as PDF automatically, and you can select additional saved files  

6. Click ‘Send’

Send a statement to an additional recipient

Here's how:

1. Open the client profile and navigate to the 'Account' tab

2. Click on 'Statements'

3. Select the date range

4. Click 'Send' to share the statement via SMS or email

5. Select email as the delivery method; the client's email auto-fills but can be changed

6. Add recipients from saved contact fields like 'Referring healthcare professional,” “Guardian,” or “Responsible person”  

7. Choose files to attach—your created document attaches as PDF automatically, and you can select additional saved files  

8. Click ‘Send’

Note: If the recipient does not have a Bookem profile, the message is stored under the 'Messages' page under the main menu
